Most drivers spend more time choosing the colour of their car than thinking about what to write on the sign that the client sees first. Here is what to put on a pickup sign, what to leave off, and a few mistakes that quietly cost repeat work.

The basics: what to write

A pickup sign needs three things and only three things: the passenger's surname, their initial or first name, and a clear visual cue that identifies which booking it is (a colour, a logo, or a brand name). Anything else is noise. The client is scanning from a distance, often jet-lagged, and the sign needs to read in one second.

The format that always works

"MR SMITH" reads better than "Mr. Smith". All caps win at distance because they have no descenders to confuse the eye. The full name centred on the sign, one or two lines maximum, large enough that the entire arrivals hall can see it. If the booking is for a couple or family, use the lead booker's name only, not a list. "SMITH FAMILY" works for groups when the lead name is uncertain.

The phone-screen rules

A phone or tablet pickup sign reads cleaner than paper at terminal distance, but only if a few things are right. The screen needs to stay awake for the entire hold, no exceptions. Brightness needs to be at 100 percent regardless of ambient lighting. The text needs to fill the screen (no app UI, no notification banners, no battery icon). Most note-taking apps fail on all three counts. Dedicated apps exist that handle them automatically. (Ours is called PickUp Sign and is free on iPhone, iPad, and Android.)

The handoff

Once the client makes eye contact, drop the sign. Do not keep holding it up while they walk over, it forces them to read it again from close range, which feels presumptuous. Step forward, greet by surname, offer a hand for a bag (not for a handshake unless they offer first), and lead toward the kerb. The sign has done its job. Let it disappear.

A pickup sign is not signage. It is a short, visible promise that the client is expected and that you are the right driver. Keep it minimal, keep it readable, and put it away as soon as it has worked.
